Beyond Assist · Effective 2 September 2026

Beyond Assist ("the app") is the internal operations platform of Beyond Alliance, used only by our employees and partners. This page explains what data the app handles and how. It is written plainly because our own team reads it too.

What we collect

Account and work data. Employee name, work email, username, role and department; the work records the team creates in the app — tasks, site plans and events, attendance check-ins and site visits (including location when a visit is recorded), site photos, build and material records, timesheets, and reports.

Messages. Team chat messages and attachments, including voice notes and their transcripts, stored so conversations work like any messenger.

Meetings. When a team member turns on the AI note-taker for a meeting, the call is transcribed and the app stores the transcript and an AI-written summary against that event. Meetings are never recorded or transcribed silently — the feature is switched on per meeting, by a person in it.

Technical logs. Standard server logs and error reports used to keep the app running (IP address, browser type, timestamps).

Google user data

Beyond Assist connects to Google services (Google Meet and Google Calendar) on behalf of the specific account that authorises the connection, to create meeting rooms for team events and to read meeting records — participants, attendance and transcripts — for meetings created through the app.

Beyond Assist's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the meeting features described above, is never sold, never used for advertising, and never shared with third parties except as required to provide those features.

How data is used

Data in Beyond Assist is used for one purpose: running Beyond Alliance's operations — planning work, tracking projects, coordinating people, and keeping records the business needs. We do not sell data, show ads, or share data with third parties for their own use.

Some features use AI services (OpenAI for meeting summaries, voice transcription and the in-app assistant; Recall.ai for meeting recording bots when used). These providers process the relevant content solely to provide the feature.

Storage and security

Data is stored on servers controlled by Beyond Alliance, encrypted in transit (HTTPS). Access requires an account, and accounts exist only for employees and partners. Internal access follows least privilege — people see the projects and records their role covers.

Retention and deletion

Work records are kept for as long as the business needs them. Employees can ask for their personal data to be corrected or removed by contacting the administrator; when an employee leaves, their account is deactivated.
